ZERO Prostate Cancer Summit Financial Aid and Fundraise Your Way Policy

Thank you for your dedication to advocating for the prostate cancer community. ZERO Prostate Cancer is committed to ensuring that individuals who are passionate about advocating for patients and attending the 2024 ZERO Prostate Cancer Summit in Washington, DC can do so, regardless of financial constraints. We understand that attending the Summit involves personal expenses, and we are dedicated to helping those who require financial assistance find resources to make their participation possible. Please review the following options that may help alleviate cost restraints. 

Travel Resources:

Airline, Credit Card, or Marriott Hotel Points

We encourage participants to explore the possibility of utilizing airline miles, credit card rewards, or Marriott hotel points to offset travel expenses. This option can significantly reduce the financial burden of attending the Summit. Participants should also consider reaching out to relatives, friends, or employers who may be willing to donate airline miles or hotel points to support their attendance at the Summit.

Apply for an Airline Donated Flight

Select airlines offer donated flights to individuals attending charitable events. We recommend you apply for these donated flights well in advance to meet any required deadlines. ZERO Prostate Cancer’s EIN is 59-3400922 and you can request a copy of our IRS determination letter by emailing summit@zerocancer.org. Participants are encouraged to visit their local airline carrier's website and search for information related to donations or charitable requests to determine if the carrier offers support for charitable causes, including Summit attendance.

Fundraise Your Way to the Summit

We recommend fundraising as the most effective way to obtain travel resources. ZERO Prostate Cancer is committed to assisting participants in reaching their fundraising goals for the Summit. You can set up your fundraising page here to share with your personal network of family, friends and colleagues. Additionally, we will provide a fundraising toolkit to ensure you have the tools for success.

Fundraising Levels

  • Travel & Hotel: $1,500 per person by November 30, 2023
    • Travel will be booked by ZERO and covers airfare in/out of the same airport only (DCA, IAD, BWI).
  • Hotel or Travel Only: $750
    • Travel to be booked by ZERO.
    • Hotel covers 3 Nights (Sunday, Monday, Tuesday only).
    • Participants are responsible for booking the hotel room, including putting a credit card on hold for incidentals that may be charged to the room.
    • Participants are also responsible for canceling the hotel room if necessary.
    • The hotel room will be paid upon check-out by ZERO.
  • Any funds raised beyond your goal will go towards supporting ZERO's programs.

Participants are encouraged to set fundraising targets, with the aim of reaching their goal by November 30, 2023. Meeting this deadline is essential to ensure sufficient time for travel booking and to secure the best rates. For assistance with fundraising, contact fundraise@zerocancer.org.

Apply Funds from Other Fundraising Campaigns

Participants who host a ZERO fundraiser under another campaign such as the ZERO Prostate Cancer Run/Walk, Grow & Give, or Do-It-Yourself events can apply those funds towards Summit hotel and travel expenses. Please reach out to your local Chapter staff leader or email fundraise@zerocancer.org to discuss this option. 

Before deciding to apply funds from other campaigns, please note that ZERO relies on those funds to fuel our patient support programs. Applying existing fundraising to Summit expenses has the potential to negatively impact ZERO's patient support program funding.

If you decide to apply funds from other existing campaigns to Summit attendance, we encourage you to increase existing fundraising goals to include Summit hotel and/or travel expenses and to notify your donors that their support has also enabled them to attend this event and advocate for the prostate cancer community. Summit attendees who resource their travel using funds from other ZERO fundraisers are expected to attend all Summit events, including advocating on Capitol Hill on Tuesday. Attendees who do not attend all events will be disqualified from future travel support from ZERO.

Financial Aid Provided By ZERO Prostate Cancer

ZERO Prostate Cancer has allocated limited financial aid resources to support Summit attendees who are unable to cover their expenses through the options mentioned above.

Financial Aid Award Process

  • Preference will be given to first-time attendees that live in a target district. 
    • Target districts are areas in which a congressional or senatorial representative is a key decision maker that sits on a committee that determines support for our vital legislative priorities. It is imperative that ZERO advocates meet with these representatives to influence support for the cause. 
  • Only one attendee per Congressional district is eligible to receive financial aid.
  • If a spouse or companion also wishes to attend, they will need to explore the above options for resources or fundraising independently.
  • Participants will be notified of financial aid support beginning in November 2023. 
  • Summit attendees who receive financial aid are expected to attend all Summit events, including advocating on the Hill on Tuesday. Attendees who do not attend all events will be disqualified from future travel support from ZERO.

We request that all financial aid recipients maintain strict confidentiality regarding their aid status. This ensures that the aid process is fair and equitable for all participants.
