Office Manager

ZERO is seeking an enthusiastic and dynamic administrative professional with a strong sense of initiative and excellent organization skills to join our team as an Office Manager. The ideal candidate will be able to work well in a fast-paced, energetic environment with a positive and flexible attitude. This individual should be comfortable working autonomously and must excel at managing multiple tasks while executing them quickly and efficiently. This role is ideal for an experienced administrative professional seeking to build upon an already successful career in the business administration field as the position offers excellent potential for career growth.

Role Responsibilities:

  • Organize day-to-day office operations and procedures, including purchasing/maintaining office supplies, oversee mailing and shipping function, office organization, etc.
  • Manage Accounts Payable through our web-based invoice management system, Bill.com, which includes applying the correct accounting codes, obtaining invoice approvals, research/communicate payment status questions, etc.
  • Manage our monthly employee credit card data capturing process which includes accounting for transactions and obtaining/organizing receipt copies
  • Oversee the front desk to ensure the administrative function is sufficiently covered at all times with excellent customer service
  • Ensure continuation of administrative support and workflow in the absence of administrative staff members
  • Manage Intern Program including: recruitment and hiring of interns every semester, train and mentor all interns on duties and responsibilities, and ensure they feel an integral part of the team
  • Provide logistical support for onboarding of new employees
  • Coordinate workspaces for new hires and assist with new hire onboarding; work with office leadership to plan and execute ideas for office space to enhance productivity
  • Manage company telecommunication needs (VoIP desk phone system, cell phone plan, conference lines)
  • Act as a primary liaison to building management and local office service providers; communicate with building management on issues and problems to ensure a safe and effective office (i.e., mechanical systems, security, etc.); serve as primary point of contact for staff concerns related to the building
  • Initiate, analyze, and negotiate contracts related to office equipment, supplies or services
  • Develop and implement office systems, processes, and policies that maximize efficiency and build cohesion for all staff
  • Coordinate office social functions (holiday party, celebratory events, etc.)
  • Possess an all hands on deck approach and take over other tasks as needed Candidate Requirements And Qualifications
  • Bachelor’s Degree required
  • 4+ years of experience working in an administrative or office support role in a small business office environment
  • A desire to stay and grow within an administrative role
  • Strong communication, organization, and multi-task management skills
  • Confident, assertive, and able to adapt to a changing work environment and task list
  • Strong knowledge of computer programs; Microsoft Excel, QuickBooks, Video-Communication platforms
  • Strong knowledge of office equipment and communication systems; copier, postage machine, VoIP phone systems, Wi-fi network management, etc.
  • Intermediate knowledge of accounting principles
  • Familiarity with office procedures and equipment; copiers, printers, postage machine
  • Ability to carry out appropriate follow-up independently and with sound judgment
  • Ability to work under pressure and cope with deadlines
  • Analytical, detail-oriented, flexible, and decisive
  • This is a full-time position with the required work schedule set to 9am – 5pm Monday – Friday based out of our Old Town Alexandria office. Preference will be given to candidates within close proximate range of the office.
Role Responsibilities:
  • Involves work of a general office nature usually performed sitting such as answering the
    phone and operations of a computer
  • Involves movement between departments to facilitate workflow
  • May be required to occasionally lift 10-25 lbs.
